The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details).
  • Identity information relating to the employees and workers of IEMC client’s (for example names).
  • Identity information for visitors to our website.
  • Identity information for subscribers ton IEMC services or products.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • We only use this information for the provision of our services that we offer to our clients.
  • If you are a prospective client, we mainly use this information to provide quotations, proposals and information about our services.
  • We may also use this information for marketing subject to consent that we obtain for this.
  • We will also use this information to comply with legal obligations that may arise for example if we are required to provide this information to make a notification or as part of one of our services.
  • We use the information that you have given us in order to administer accounts, recover fees, verify the identity of our clients, to maintain records of clients, maintain and develop our relationship with you, transfer any information to provide our services and to meet our contractual obligations to our clients.

We may share this information with public bodies that we are required to in order to meet our contractual obligations with you, for example a government department, public body or labour inspectorate. The information may also be shared with a service recipient of a client of the IEMC or a business that shares some form of common ownership with an IEMC client.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
** (a) Your consent. You are able to remove your consent at any time. You can do this by contacting the IEMC using the contact details above.
(b) We have a contractual obligation.
(c) We have a legal obligation.
(d) We have a vital interest.
(e) We need it to perform a public task.
(f) We have a legitimate interest.

How we store your personal information

Your information is securely stored by the IEMC on its IT systems that are all securely protected.
We keep prospective client data for 6 months. Client data including personal details and information are retained or a period of 6 years after the end of our business with you. Transaction data will also be retained for 6 years. We will then dispose your information by securely deleting it from our electronic systems or the physical destruction of any hard copies of any data that we have collected.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
